WebMagic Privacy Policy

1. Introduction and scope
This Privacy Policy explains how WebMagic Agency (“WebMagic,” “we,” “our,” “us”) handles personal data when you:
- browse https://webmagic.agency (the “Site”);
- download or use CargoMagic (desktop - Windows / macOS / Linux);
- download or use RouteMagic (mobile - Google Play / App Store);
- contact us by e-mail, the on-site contact form, or send a direct message to one of our social-media accounts (you will first be redirected to that platform in a new tab), or schedule a meeting via the Book a Free Consultation button (Calendly widget).
If you do not agree with this Policy, please do not use the Services.
2. What information we collect
We collect different kinds of information depending on how you interact with WebMagic:

Website visits
When you browse the Site we automatically receive device and usage data (browser type, pages viewed), cookie or SDK identifiers (Google Analytics, Hotjar, Leadfeeder) and your IP address. This information is processed and stored by Google Analytics, Hotjar and Leadfeeder.

CargoMagic (desktop)
If you download and run CargoMagic, the cargo entries and history you enter—item dimensions, weight and chosen container—are stored only on your own computer. None of this data is transmitted to WebMagic.

RouteMagic (mobile)
If you install and open RouteMagic, the delivery addresses and generated route data (list of stops, distance, ETA) you enter are sent directly to Google Maps or OpenStreetMap solely to calculate a route. WebMagic does not receive or store those addresses.

Contact form
When you write to us via the contact form we collect your first name, e-mail address, “How did you hear about us?” selection, and message. These details are stored in our help-desk inbox.

Newsletter sign-up
If you subscribe for updates, we collect your e-mail address and keep it in our internal newsletter mailbox.

Career form
If you apply for a job, we collect your first name, e-mail, phone number, CV file and any message you include. This information is stored in our HR mailbox.

Consultation booking (Calendly)
When you book a free consultation we receive your name, e-mail, chosen date and time, and any optional note you leave. Calendly stores these details and sends a copy to our internal calendar inbox.
We do not request or intentionally collect special-category data such as health information, biometrics or precise GPS coordinates.
3. Cookies and similar technologies
3.1 Cookie categories

Essential cookies – log-in, CSRF protection, load balancing, plus the short-lived Google Tag Manager cookie (_dc_gtm_{id}; ≈1 minute; stores no personal data).

Analytics cookies – Google Analytics, Leadfeeder and Hotjar collect aggregated visit statistics, heat maps and session replays.
The embedded Calendly widget does not set any cookies on our Site.

3.2 Legal basis
Our lawful grounds for setting cookies under the GDPR are:
- Essential cookies – we rely on contract performance (making the site work as requested) and our legitimate interest in running a secure, reliable service.
- Analytics cookies – we place these only with your consent, which you can give, refuse, or withdraw at any time via the cookie banner.
3.3 Your choices
When you first land on the Site, a banner gives you three buttons:
- Accept All – enables both Essential and Analytics cookies.
- Essential Only – sets only those cookies needed for security, log-in and basic site performance.
- Customise – opens a settings panel where you can switch Analytics cookies on or off before saving your preference.
You can change your mind at any time by clearing WebMagic cookies in your browser; the banner will reappear so you can make a new choice. We do not respond to “Do Not Track” signals.
4. Why we process your data
We handle personal information only for the specific reasons listed below, and always under a recognised legal basis.

Deliver and run our Services – We load the Site, let CargoMagic work entirely offline on your computer, and let RouteMagic send delivery addresses to Google Maps / OpenStreetMap so it can build a route. (Legal basis: contract performance and our legitimate interest in providing a functional service.)

Protect rights, safety & prevent fraud – We detect bugs, block malicious traffic and enforce our Terms of Service to keep you, other users and WebMagic secure. (Legal basis: legitimate interest.)

Support & inquiries – We answer messages that come through the contact form, regular e-mail, social-media direct messages, or the Calendly consultation widget. (Legal basis: contract performance and legitimate interest.)

Newsletters – If you subscribe, we send product updates and marketing e-mails; you can unsubscribe at any time. (Legal basis: your consent.)

Recruitment – We review CVs, contact candidates and manage the hiring process. (Legal basis: legitimate interest, with additional consent for any extra information you choose to provide.)

Usage analytics – We improve pages and diagnose usability issues using Google Analytics, Hotjar and Leadfeeder cookies (set only with your consent). (Legal basis: legitimate interest and, for cookies, consent.)

Tag management (Google Tag Manager) – We load required scripts through Google Tag Manager when permitted by your cookie preferences. (Legal basis: legitimate interest and, where cookies are involved, consent.)

5. Data retention
We keep personal information only as long as it is reasonably necessary for the purpose for which it was collected. We may retain it longer if required by law or if you give explicit consent. When retention is no longer justified, we securely delete or irreversibly anonymise the data. System backups may persist for up to 30 days before automatic overwrite.

Depending on where you live, you may have some or all of the rights listed below. To exercise any right, e-mail

7. Security
We secure personal data with TLS encryption in transit, encrypted storage at rest, access-control permissions, and regular vulnerability scans. No method is 100 % secure, but we follow industry best practices to protect your information.
8. Service providers and data-sharing
Service providers – We share data only with vendors that help us run the Services:

Mapping APIs (Google Maps or OpenStreetMap) receive the addresses you enter in RouteMagic to calculate a route;

Calendly stores the details you enter when you book a consultation;

Google Analytics, Hotjar, Google Tag Manager, and Leadfeeder process website-usage data (Leadfeeder matches a visitor’s IP to publicly available company data so we can see which businesses view our pages; it does not identify individuals).
These partners act under contract, may use the data solely to provide their services, and must keep it secure.
We do not sell personal information.
9. No age-based restrictions
The Services are for general audiences. We do not knowingly collect data from children under 13 without parental consent. If you believe we have inadvertently collected such data, please contact us so we can delete it.
10. Changes
We may update this Policy from time to time. The “Last updated” date will change, and material changes will be summarised below.
