Our client runs translation operations that depend on accurate project setup, multilingual task coordination, file control, invoicing, and timely communication across internal teams and external resources. As process complexity grew, the team needed a more structured system to reduce manual coordination, simplify project operations, and prepare day-to-day translation processes for greater automation and future AI-assisted workflows.

Problem

The client was working with a legacy translation management setup that had become inefficient for managing growing translation workflows at scale. Core issues included excessive manual clicking, repetitive project setup, weak automation of file analysis and multilingual task handling, unclear status logic, and too much reliance on email communication. The existing operating model also made it harder to standardize project execution, support client-specific processes, and maintain a more intuitive operational flow across teams.

Solution

The solution was designed to improve control and consistency across project intake, multilingual task coordination, file handling, notifications, and role-based collaboration. The system design included template-based project setup, automatic metadata population, centralized project file storage, configurable workflow actions, simplified invoicing logic, controlled access by role, and a lightweight client portal for direct file submission and delivery tracking. It was also planned to support AI-assisted extraction of project details from emails and provide a stronger integration layer for existing translation tools and client-facing workflows.
